Cancellation Policy

1. Cancellation by the Client

If you need to cancel your booking, you must notify us in writing by email to info@nozomitreks.com. Cancellation fees are calculated from the date we receive your written notice, as follows:

Note: Permits (Restricted Area Permits, ACAP, TIMS, Sagarmatha National Park) are non-refundable once issued, regardless of when you cancel. These costs will be deducted from any refund due.

2. Cancellation by Nozomi Treks

Nozomi Treks reserves the right to cancel or modify a trip in the following circumstances:

Insufficient participants: Some group departures require a minimum number of participants. If the minimum is not met, we will notify you at least 30 days before departure and offer a full refund, a credit toward a future trip, or transfer to an alternative departure date.

Safety or force majeure: If a trip must be cancelled due to circumstances beyond our control — including but not limited to natural disasters, political instability, extreme weather, government restrictions, or trail closures declared by Nepal's authorities — we will offer a full credit toward a future trip. Refunds in force majeure situations are subject to costs already committed on your behalf (flights, permits, accommodation deposits) which may be non-recoverable.

In all cases of cancellation by Nozomi Treks, we will not be liable for any additional costs incurred by you, including international airfares, visas, or travel insurance. We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation.

3. Mid-Trek Cancellation

If you choose to leave the trek early for any reason — including illness, personal reasons, or failure to acclimatise — no refund will be issued for unused services. Any additional costs incurred for evacuation, alternative transport, or accommodation are your responsibility and should be covered by your travel insurance.

If our guide or medical advisor determines that it is unsafe for you to continue — due to severe altitude sickness or medical emergency — we will arrange appropriate evacuation. Costs not covered by insurance remain your responsibility.

4. Date Changes & Amendments

If you wish to change your departure date, we will do our best to accommodate the request subject to availability. Date changes requested more than 60 days before departure are free of charge. Changes requested within 60 days of departure may incur an amendment fee of $50 per person, plus any difference in permit or accommodation costs.

Changes to the tour type or itinerary will be treated as a cancellation and rebooking, and the standard cancellation fees above will apply to the original booking.

5. Weather & Flight Delays

Mountain flights in Nepal — particularly to Lukla (Everest region) and Jomsom (Mustang) — are subject to weather conditions and may be delayed or cancelled by the airline. Nozomi Treks is not responsible for delays caused by weather or airline decisions. Our itineraries include buffer days specifically to absorb common weather-related delays.

If your trip is shortened due to unavoidable weather-related flight delays, we cannot offer refunds for the affected days. Travel insurance with trip interruption cover is strongly recommended for all mountain itineraries.

6. Travel Insurance

Comprehensive travel insurance is mandatory for all Nozomi Treks participants. Your policy must cover, at minimum:

✓  Trip cancellation and interruption
✓  Medical expenses at altitude
✓  Personal liability

We reserve the right to ask for proof of insurance before departure. Without valid insurance, we may decline to allow participation in the trek.

7. Refund Processing

All approved refunds will be processed within 14 business days of the cancellation confirmation. Refunds are issued via the original payment method. Bank transfer fees and currency conversion costs are the responsibility of the recipient and will be deducted from the refund amount where applicable.
